Information we use when you visit the website
When you visit the website, the hosting service processes the technical information needed to deliver the pages and protect the service, such as your IP address, the time of your request, and browser or device information. The legal basis is our legitimate interest in providing and securing the website (Article 6(1)(f) GDPR).
The website and booking database are hosted by one.com on a VPS in Sweden.
Necessary cookies and your preferences
We use necessary session cookies when you use functions that require secure access. The booking access cookie (ibiza_customer_session) lasts for up to 7 days. Administrator sign-in (ibiza_admin_session) and private preview access (ibiza_staging_access) each last for up to 12 hours. These cookies are not used for advertising or analytics. Storage that is strictly necessary to provide a service you request is based on Section 25(2)(2) TDDDG; the applicable GDPR basis depends on the purpose, as described in this notice.
The Cookie preferences popup lets you choose Necessary only or Accept analytics. Necessary cookies for the functions you use remain available with either choice. Your preference is saved in local browser storage, rather than an analytics cookie, for up to 180 days. You can change it using Cookie settings at the bottom of a public page. Clearing browser storage removes the saved preference.
Optional website analytics
If you accept analytics cookies, we use Google Analytics 4 to understand which pages visitors view, how they reach the website, and which booking steps they use. Google Analytics is provided by Google Ireland Limited. We load the Google tracking code only after you accept. Rejecting analytics does not affect booking. You can withdraw your choice at any time using Cookie settings at the bottom of a public page.
Analytics may process cookie identifiers, device and browser information, page paths, referral websites and campaign information. For a completed booking with analytics consent, we also send a pseudonymous transaction identifier, the event booked, the booking value excluding VAT and the VAT amount. This helps us measure which visits lead to bookings. Test purchases are excluded. We do not send booking names, email addresses, billing details, booking access tokens or payment credentials to Analytics. Advertising storage, Google signals and advertising personalisation are disabled in our website integration. Your analytics choice is stored in your browser for up to 180 days.
The legal basis for optional analytics is your consent under Article 6(1)(a) GDPR and Section 25(1) TDDDG. Withdrawing consent stops future analytics collection; it does not change the lawfulness of processing before withdrawal. Choosing Necessary only also removes the Google Analytics cookies that our integration can access.
Google Analytics cookies, including _ga and cookies beginning with _ga_, distinguish visits and sessions. Our integration limits their lifetime to 180 days and does not extend it merely because you visit again. Google may use your IP address temporarily to derive approximate location information; Google states that GA4 does not log or store individual IP addresses.
Our GA4 property is configured to retain event-level data for 14 months. User data retention is also set to 14 months and is refreshed when new activity occurs. These limits do not apply to most standard reports based on aggregated data.
Google may process data outside the European Economic Area. See Google’s Privacy Policy for information about its processing and safeguards.

Information we use for event bookings
When you book an event, we collect your name, email address, mobile number, billing address, selected event and package, any extras and promotion code, and your acceptance of the Terms & Conditions. Company name and VAT number are optional. We use these details to check availability, hold your selection, process the booking, communicate with you, and issue an invoice. The legal basis is taking steps at your request before a contract and performing the contract (Article 6(1)(b) GDPR). We also keep information where required for tax and accounting obligations (Article 6(1)(c) GDPR).
We do not ask you to create a client account or password. A secure booking access token may be stored in a necessary browser cookie so you can complete checkout and retrieve your invoice from that browser. The token does not serve advertising purposes.
If you do not provide the required booking details, we cannot complete your booking. We do not use booking contact details for marketing unless we provide a separate choice and have a suitable legal basis.
Payment and confirmation
If you choose a PayPal payment option, information needed for the transaction is exchanged with PayPal. Payment approval and verification are handled by PayPal; we record the transaction reference and status so we can confirm the booking. PayPal's own privacy information applies to its processing. We send booking confirmations and invoices to the email address you provide, using one.com email.
Other contact and social media
If you email us, we use your message and contact information to respond. If you follow a link to an external social-media service, that provider processes information under its own privacy terms.
How long we keep information
We keep booking and invoice records for the periods required by applicable tax and commercial law. We keep other information only as long as needed for its purpose or to handle a claim, then delete or anonymise it when permitted. An uncompleted space hold expires automatically after 30 minutes; this does not by itself delete the associated record.
Your rights
Depending on the circumstances, you may request access to your information, correction, deletion, restriction of processing, or a portable copy. You may object to processing based on legitimate interests. You can contact us at info@ibizapolecamp.com. You also have the right to complain to a data protection supervisory authority.
Changes
We will update this notice when the website, booking process, providers, or legal requirements change. The date at the top shows when this version was prepared.
